Sales Rep Tracking App

Sales rep and field staff tracking app for Nepal

See where your field team went during the working day, which shops they really visited and for how long, with attendance, alarms and daily reports built in.

Attendance is a register signed in the office, which says nothing about the working day in the field.

A salesperson reports twelve shops visited, and there is no way to check the route, the time spent or the photos.

Problems such as a phone switched off or a skipped beat surface only at month end, when they are hard to discuss.

Managers spend the evening on the phone collecting numbers that should already be on their screen.

"Where is the team right now, and what did they actually do today?" Every owner of a field team in Nepal asks this. A sales rep tracking app answers it with records made during the day, not stories told at the end of it. Done well, it also protects honest staff, because their work is visible without them having to prove it. This page explains what to expect from field staff tracking and how gamitrack does it. For the selling side, such as orders, price lists and commissions, see sales force automation.

Why tracking by phone call fails

Most companies track field staff by calling them. The answers are always reasonable: stuck in traffic in Kalanki, waiting for a shopkeeper in Butwal, network down in the hills. The manager cannot check, so the call becomes a test of trust rather than a source of facts. Attendance is a signature in the office, and nobody knows when the working day in the field really started.

The opposite mistake is just as costly. Some companies install a generic location app and start judging people on dots on a map. Staff feel watched, the dots show nothing about which shops were visited, and the first argument about a dead battery ends the experiment.

What a sales rep tracking app must do

A good tool tracks work, not people. Check for these points:

  • Tracking that runs only during the working day, with a clear start and end chosen by the staff member.
  • Attendance worked out from that start, against your own work week and holidays.
  • Shops with saved locations, so a visit is checked against the right place.
  • Visit proof with a photo, and flags for visits that look wrong.
  • A day map that shows store visits and time spent, not only a line.
  • A fair comparison, with the person's own average as well as the team's.
  • Alarms that also notify the staff member, so issues are fixed while they are small.
  • A record that keeps working where the signal does not.
  • Daily numbers per person that reach the manager without a phone call.
  • Plain explanations for staff, in Nepali as well as English.

How gamitrack tracks the working day

Start and end of the day

The salesperson taps Start my day on the Today tab. The first time, the app explains that location is recorded from start to end of the working day and is used for attendance, store visits and time at outlets, and asks for location access all the time. When the company supplies shops through dealers, the app shows the area the person is standing in and asks which dealer they are working with today. At the end of the day they add an end-of-day note and tap End my day. See start and end your day.

Attendance without a register

Attendance is worked out automatically, in Nepal time. You set the weekend, the work start time and the holidays, including ready-made holiday lists; a person can have their own weekend. Starting more than 15 minutes after the start time counts as late, and ending early shows as left early. The monthly attendance grid shows present, late, absent, day off and holiday for each person. Read work week, holidays, attendance and routes.

Routes, beats and territories

A route belongs to a salesperson, runs on chosen days of the week, and lists shops in order. The stops appear on the phone in that order. Territories are drawn on a map, by clicking corners or freehand, and assigned to a salesperson; leaving the territory raises an alarm. Regions group staff for reports and broadcasts. See territories and regions.

Geofenced visits with photos

At each shop the salesperson checks in. The position is compared with the shop's saved location using a check-in radius you set, and a photo is taken as proof. New outlets need approval before they go live, so the location being checked against is one you trust. Visits and flags are listed together: checked in away from the outlet, very short visits, no photo proof, repeated photos, an order without a visit, cash not deposited, and deliveries away from the outlet.

The day-movement map

For any person and date, the day view shows the path, store visits with arrival, departure and minutes spent, whether each visit had a check-in, stops away from stores, phone-silent gaps and phone state such as battery and location. Distance, active minutes, offline minutes, visits, check-ins, orders and order value are set against the person's own 30-day average and the team average, and you can compare one day with another. Read field sales tracking in Nepal.

Alarms and the integrity score

Alarms are raised during the day for situations such as outside territory, idle for a long time, phone silent, day not started, location turned off or permission reduced, fake GPS, impossible movement, phone clock wrong, route stop skipped, check-ins from one spot and visits without check-in. The salesperson receives the same alarm in the app inbox in plain language. Each day gets an integrity score with the reasons that lowered it, and every alarm or flag is resolved with a written note. See alarms and stopping fake visits.

Daily reports and targets

Daily reports show each officer's start and end time, the dealer and area for the day, visits, visits with an order, kg sold, sales value and the end-of-day note. The Team page shows today's status, visits, orders, sales, collected amount and open flags for each person, with strike rate and the reasons shops did not order. Officers see their monthly target in kg and amount with the pace needed per day, and a performers ranking compares the team.

Who it is for

Gamitrack suits companies with a field team of a few people up to a few dozen who visit shops on regular beats: masala and spices, FMCG and packaged food, beverages, pharma distribution and similar trades. It tracks work during the working day only; it is not a tool for following people outside working hours. To connect tracking with orders, stock and collections across the company, see distribution management.

Getting started

Explain the app to the team first: tracking runs only between Start my day and End my day, and alarms are a prompt, not a verdict. Set the work week and holidays, add shops with their location, build routes for one region, and draw the territories. Run it for two weeks and read the day views together with each salesperson.

Sales Rep Tracking App: common questions

When does the app track location?

Only during the working day. Tracking starts when the salesperson taps Start my day and stops at End my day or sign-out. The app explains this before the first start, and Android shows a notification while it runs.

What happens when there is no mobile signal?

Location points are stored on the phone and uploaded in batches when the connection returns. Orders, payments, check-ins and photo uploads need a connection when they are saved, even a slow one.

How is attendance worked out?

From the day start and visits, in Nepal time, against your work week, start time and holidays. The monthly grid shows present, late, absent, day off and holiday, and early leaves are counted.

What kinds of problems raise an alarm?

Examples include leaving the assigned territory, the phone going silent, location turned off, a fake-location app, a skipped route stop, several check-ins from one spot and time at a shop without a check-in. The salesperson is notified too.

Is this only for salespeople?

No. Delivery staff also start and end their day in the app, and their deliveries carry GPS, a photo and the receiver's name.
