Add parties and approve new outlets

Parties are your dealers and shops. Outlets added from the phone stay pending until a manager approves the location.

A party is any business you deal with: a vendor, distributor, dealer, wholesaler or retailer. Parties carry the location, credit terms and price list that orders and visits rely on.

Add a party in the admin console

  1. Open Parties in the Management group and click Add party.
  2. Choose the Type: Vendor, Distributor, Dealer, Wholesaler or Retailer.
  3. Fill in the Name, Owner name, Phone and PAN.
  4. Fill in the address fields: District, Municipality and Ward.
  5. Enter the Latitude and Longitude so visits can be checked against the shop's real position.
  6. Optionally set a Credit limit (NPR), Credit days and a Price list. If you leave the price list as "Use type / default list", the type or company default applies.
  7. Save the party.

For a shop that buys through a dealer, open the party and use Supplied by to choose the dealer or vendor, then click Save.

Outlets added from the phone

When a salesperson adds an outlet in the app, it is saved as Pending approval. It goes live only after a manager approves its location.

  1. Open Parties and look at the Location approvals area, or go to the approvals page.
  2. Under Pending location requests, each row shows who it was Requested by and the Proposed location.
  3. Click Approve to accept it, or Reject to refuse it.

When no requests are waiting, the page says "No pending requests."

Changing a party's location later

On the party's detail page, use Request location change, enter the new position, and click Submit request. The change goes through the same approval, so the saved location of a shop is never altered silently.

Deactivating and notes

Use Deactivate on a party you no longer deal with, and Activate to bring it back. Parties also have Internal notes: visible to all staff, never to dealers. You can Pin the important ones.

Tip: Ask your salesperson to stand inside the shop when adding it. The phone records their current position as the shop's location.

Tip: The dashboard card for Parties shows how many are awaiting location approval.
